A university engaged in training specialists in social & economic and humanitarian areas, as well as in training and retraining of top managers.
Challenge
The university uses an electronic document registration system, and some documents get entered into the register without a stamp and signature. The absence of a stamp and signature on documents does not allow to determine the reliability of structured data in the registry and promptly obtain the necessary information on the content of the contract. Employees need to double-check documents to be sure that the archived contract documents are up-to-date.
Task
To free people from additional document checks, which take up a large amount of useful working time on the busiest days.
Solution
Integration of a PIX robot to recognize contracts for stamps and signatures:
- The robot goes into the contract database and downloads a pdf file of the contract;
- The robot sends the file for stamp detection using OCR;
- The robot collects xml-files for parsing: it checks the obtained result on the basis of given rules;
- At the end, the robot creates a final report which is sent to the functional customer.
Results
The time to complete the task was reduced from 5 minutes to 1 minute. The software robot serves as a tool to recognize contracts for stamps and signatures, replacing an employee in this process. A human is only involved in the verification if the robot has identified documents with a missing signature or stamp.
